Cancellation & Refunds

Robotics 401: Complex Case Mastery is a limited-seat, hands-on training program with significant advance preparation costs and faculty commitments. Because seats are reserved on a first-come, first-served basis and course materials are prepared in advance, the following cancellation and refund terms apply to all registrations.

By registering for the Course, you agree to be bound by this policy.

Cancellations by the Attendee

60 or more days before the course start date: Full refund less a $250 administrative fee, OR transfer to a future course offering at no additional charge.

30 to 59 days before the course start date: 50% refund of the registration fee, OR transfer to a future course offering at no additional charge.

Less than 30 days before the course start date: No refund will be issued. Registration may be transferred to another qualified attendee from your practice with prior written approval (see "Substitutions" below).

No-shows: Attendees who do not attend the Course without prior written cancellation are not eligible for a refund or transfer.

Substitutions

A registered attendee may be replaced by another qualified colleague from the same practice at any time before the course start date with written notice to info@drneugarten.com.

The substitute attendee must:

  • Hold the professional credentials, licensure, and qualifications appropriate to attend the Course

  • Agree to all course policies, terms, and conditions

  • Provide their information for CE credit reporting

There is no fee for substitutions.

Cancellation by NYCOMS

If the Course is canceled by NYCOMS for any reason, all registered attendees will receive:

  • A full refund of the registration fee, OR

  • The option to transfer to a future course date at no additional charge

NYCOMS is not responsible for travel, lodging, meals, or other personal expenses incurred by attendees in the event of a course cancellation. We strongly recommend purchasing refundable travel and accommodations or trip insurance.

Course Postponement

In the event the Course is postponed (rescheduled to a later date), registered attendees may:

  • Transfer their registration to the new date at no additional charge, OR

  • Request a full refund of the registration fee

Requests for refunds in the case of postponement must be submitted within 14 days of the postponement announcement.

Removal for Misconduct

Attendees removed from the Course for misconduct, violation of venue policies, or violation of patient privacy requirements (as outlined in our Terms of Service) are not entitled to a refund.

How to Request a Cancellation or Refund

All cancellation, refund, transfer, and substitution requests must be submitted in writing to:

info@drneugarten.com

Requests must include:

  • Registered attendee's full name

  • Registration confirmation number or date of registration

  • Reason for cancellation

  • Whether you are requesting a refund, transfer, or substitution

Requests are processed in the order received. We will confirm receipt of your request within 2 business days.

Approved refunds are issued to the original payment method within 14 business days of approval. Refund processing times by your bank or credit card issuer may vary.

Travel and Lodging

Travel and hotel arrangements are the sole responsibility of the attendee. NYCOMS does not provide hotel accommodations or travel reimbursement. We strongly recommend booking refundable travel and lodging or purchasing trip insurance to protect against unexpected changes, including in the event of course cancellation or postponement.

Force Majeure

If the Course cannot be held as scheduled due to circumstances beyond our reasonable control — including but not limited to natural disasters, severe weather, public health emergencies, government action, or venue unavailability — we reserve the right to reschedule or cancel the Course. In such cases, the cancellation and postponement provisions in Sections 3 and 4 of this policy shall apply.

Changes to This Policy

We may update this Cancellation & Refund Policy from time to time. The "Last Updated" date at the top will reflect the most recent revision. The policy in effect at the time of your registration is the policy that governs your refund and cancellation rights.
